BROTHER'S KEEPER - FAQ (Updated 24 February 1997) This is the first revision of the FAQ file for Brother's Keeper. New questions are marked with @@. I have added a new section - Tips & Tricks. This will list those little tips and tricks users have come up with and which are not necessarily documented. For listserve commands as subscribe and unsubscribe send to: BK5-L-Request@genealogy.emcee.com with the appropriate command in the subject line and nothing in the message body. e.g. To: BK5-L-Request@genealogy.emcee.com Subject:subscribe For postings: bk5-l@genealogy.org ---------- Q.4 Does anyone have a solution to the problem of the shortened size of the windows in my screen which shows the family of an individual. It consists of four windows, first Husband's data, second wife's data, third marriage data, and last children (either one or all). My question has to do with the for shortened view of the first two windows. The line showing father and mother is only half visible. I have seen it as a complete line on an other installation I have made. A.. If the mother and father do not show in the Edit screen, then perhaps that computer does not have the correct Windows screen fonts available. My program uses MS Sans Serif font and that font should be available in Windows for several sizes, like 8 point and 10 point. ---------- Q.5 Why, when I do a "compute relationship" does BK5 say that my parents are not related? They ARE married....is that not considered a relationship? Why does it not compute in-laws? A.. The relationship routine looks for people that are descended from the same person. If your parents were not related before marriage, then BK will say they are not related (blood relatives.) ---------- Q.6 What exactly IS a ahnentafel book and what is it good for? A.. It is a list of your ancestors with all information for each. ---------- Q.7 How do I decide who to put in and who to leave out of a genealogical tree? A.. You can put the people YOU want in the database. You can go any direction, or just follow one line. ---------- Q.8 I want to download the latest version, and I'm a little confused. How do I do it? Do I download the new, move all my info some how and then delete the old? A.. Download both files to the same directory and double click on the bksetup.exe file from file manager or explorer and then answer the questions on the screen. It will find your BK program and UPGRADE it all by itself. There's nothing special that you have to do. Just have your data backed up, as usual, for safety. ---------- Q.9 What has changed in the latest version? A.. Check out John's homepage ---------- Q10 Can I back up to a zip drive? A.. The current version of the program (11 February) will back up to a zip drive if it is the last drive letter in use or if it is the D E or F drive. Versions before January 7 (October to December) will back up to a zip drive only if it is the last drive letter in use. ---------- Q11 Is it possible in BK5 to make a list of all those who may have been alive at a specified period of time? A.. First make a back-up! Then change your date format (temporarily) to yymmdd. Then enter into the list the fields you would like to have, starting with birthdate, then deathdate, name and other details that make it easy to know who you're working on. Also enter 91(the delimitercode) as a field. This will make it possible to have all details in a separate field. Now make your list and export it as a text file. Then enter the text file into a spreadsheet and you'll get the BK- fields in separate spreadsheet cells, enabling you to manipulate with sort on the date fields, etc. ----------- Q12 What is the difference between Gedcom and RTF? A.. RTF is a format for a book type report to transfer the report into a word processor. GEDCOM is a format for transferring data into another genealogy program. If you are making a book, you can make an RTF file to move the book into your word processor. RTF is (probably) Rich Text Format being a type of file that contains more information than simple ASCII-txt.files. Tabulators, hard and soft new line, special characters etc. Most modern word-processors are able to import and export as RTF-files. ---------- Q13 Is there a utility somewhere that I can use to convert the FTM file to GEDCOM for import into BK? A.. If you have a GEDCOM file made by FTM and BK will not import it correctly, you can use GIM to convert it. The latest version of GIM is 3.16 and you can download it from: ftp://ftp.mindspring.com/users/dblaine/gimdos/. Import the FTM gedcom file into a GIM database and then have it export a new gedcom file in PAF format. Brothers Keeper will import that. Just an aside the Editor received a gedcom in PAF format and BK wouldn't import it as it was lacking hard returns. Easily fixed by importing the file into a word processor and resaving it in text format. ========== * Printing Problems * Q.1 When I print Group Sheets with Ancestor setting, the sheets are mis-numbered: on the 2 different families that I've printed, the sheets printed went several pages (10 or 12), an example of the way the actual pages were numbered: 1, 2, 3, skip, 4, 5, skip, skip, 6, 7, 8, skip, 9. Maybe the amount of characters (even not shown) on page 3 is to much for one page and thus prints "empty characters" to a blank page...? A.. If the group sheets print a page with no numbers once in a while, then set a bottom margin of .8 inches and that should solve it. ---------- Q.2 How do you produce a descendant Box Chart which is not a very long continuous sheet but a box chart for an individual family? A.. Check the `Number of Generations' setting near the top of the options box. For immediate family, set that to 2, put in your starting person and voila, a family box chart. ---------- Q.3 How can I get BK to print to a HP Laserjet 4 which is networked? A.. Be certain that BK5 is looking for your HP4 as the default printer and ensure you have the printer driver files to match your computer configuration. Also ensure that your com port is set for the same as the network printer. Also, make sure that in Windows you have set the network printer as the default. Note that this problem relates to the DOS version. ---------- Q.4 Can I print an Ascii Register Report directly to disk? A.. No. But you can pick File, Create RTF file, and then load the RTF file into Word or Wordpad and then in that program pick File, Save As and set the file type to ASCII or TEXT ONLY and then save the file as ascii. ----------- Q.5 How do I get BK to print `Died at Age' when I have only the year of birth and death? A.6 Do not ask for the group sheet to print ages. If you have complete dates, then go to the Edit screen. If the age there is wrong, then correct the dates (see date types page 63 in the manual.) If the ages are correct on the Edit screen, then ensure there is room for the ages, use a smaller font size or smaller margins on the group sheets. ---------- Q.7 Why wont WP for Win v.6.0a accept an RTF file produced by BK-W. A.. In the options dialogue (for the register book, for example) in the tab for RTF options, there are options for RTF files for; MSWord, Word Perfect 6.0, Word Perfect 6.1, Word Perfect 7.0, etc ---------- Q.8 RTF files created in BKWin, for some reason open MS Word 7 in the "Letter" page set-up with odd margins, even though my defaults are set up for the more universal A4 page-set-up. A.. When importing an RTF file into Word, set the paper size to A4. Then adjust the margins to get more info on one page. At the end make the index. ---------- Q.9 The Register format with all dates & places is a very efficient way of displaying lots of data. To e-mail it, though, requires a TXT format. With BK5 (DOS), however, there's no .TXT choice for the Register. Everything is .RTF. I use MS Works, but I'm unable to convert RTF to TXT. A.. After you select Register report (or Indented), press F9 until you get "Disk w/tabs or RTF" in the lower right corner of the screen. Then when you are offered a selection of 7 ways to "print" your file, select #7, Disk w/tabs. You will get a text file that you can e-mail. ========== * Error Messages and their meaning * Q.1 I am getting a error message which reads ( Language Files Damaged). What can I do? A.. Reinstall the program files which should fix the damaged files. ---------- Q.2 I was creating new databases, importing GEDCOMs etc. Now when I click on "File", "Open Database", I get an error report for "Error: 68 Device unavailable". Under procedure it says "+BKMAIN.FRM (OpenFile_Click)" I can only access the database that was current when the problem began. Is there any easy way to fix this? A.. It is uncertain what is causing the "device unavailable" message. Suggest first you turn off the computer and then try BK again. If you still get an error, then RENAME the BKOPTION.DT5 file to BKOPTION.WAS and then restart the program. If you have several directories of BK data, be sure each directory name is no more than 8 letters long and contains no spaces. ---------- Q.3 When attempting to import a GEDCOM file into a BK database I get an `Error 14'. On exiting I am told the GEDCOM lacks hard returns. How can I fix this problem? A.. If the gedcom file does not have hard carriage returns, then load it into your word processor and save it as TEXT ONLY or ASCII with carriage returns. ========== * Data Entry and Modification * Q.1 How do I correct dates? A.. To fix any date(s), go to the Edit screen and pull up the person and correct the date. ---------- Q.2 How can I insert words into a nearly full message line? A.. Currently there is not an easy to insert a word on a full message line. ---------- Q.3 Can I export the Collapsed Ancestor chart to a text file? A.. The Windows version can not export the Collapsed ancestor chart to a text file but the DOS version can. ---------- Q.4 How can I create a list of all persons in my data base born between 1620-1633? A.. In the latest update (24 Jan '97) there's a new feature in the word search report. You can put 1620==1633 in the birth date field and get exactly what you want. ========== * Miscellaneous Q.1 I have a problem starting BKW. There are two errors: BK5W.exe generates a GPE in module KRNL386.exe at 0001:73c3; and BKW.exe generates a GPE in module Vbrun300.dll at 0005:0F43 Sometimes the first error and sometime the last error, but the same result, the program does not start. A.. When a user gets a GPF in Krnl386 it may be related to some device driver. For example, have you tried the standard VGA device driver? Also, look in the STARTUP group to see what is running. Also be sure you have at least 4 megs of RAM and some virtual memory. ---------- Q.2 How would I go about using BKW on a network with several users? The network is Novell 3.12, Windows 3.11 and PC without Hard disk Any idea how to do this? A.. How to install BKW to function in a network? If the work stations in the network lack hard drives the programme will have to be installed on the server. It would be possible to install copies in separate directories on the server for all users but this seems to be a complicated and space-consuming solution. The work stations all have drives for floppy disks so the path to databases in BK could be set to Drive A:, in that way each student would register and store his data on a floppy. Wouldn't such a set up make it possible to install only one copy on the server or are there other files than the data files that are modified when BK is in use? We made a small try here on installing BK on one of our net-drives. Two users couldn't access the same program at the same time. So you will probably have to make as many folders as you have pupils on the central server and ask each to access his/her own folder. Backup however could easily be done to the floppy drive as you are always asked for "A" or "B"-drive. ---------- Q.3 Is there a way to search for people that I entered and or changed data for? A.. If you have the Option set to use BKAUDIT then that file will show the changes you have made. If you have the Option set to show the date of last change, then the date of adding or modifying will show on the Family Edit screen. Also, you can print or preview a custom report (List) that shows the date of last change for each person even if you do not have either of those other options turned on. You can not currently search for only changes during a certain period, but you can sent the custom report to a disk file and then use a sort program in Windows or DOS to sort on that column. Pick File, Create TXT file when setting up the custom list. ---------- Q.4 The BK manual says that 'you can also enter dates with dual years such as 15-MAR-1680/81." I haven't been able to find a way to enter the date and have it convert to one of the BK formats and have been typing them in the final format I want. However, the 'age at death' feature doesn't seem to work with a date entered this way. Is it possible to type a birthdate which is something like 15031680/81 and have it convert to 15 Mar 1680/81 and have the age of death calculated by BK5? A.. I haven't been able to figure this out, either. In the example given enter 3/15/1680. Move to the next field and the date converts to the chosen format: 15 Mar 1680. Then back up and add the /81. ========== * Problems Awaiting an Answer * Q.1 Is there a digest form for BK list? ++++++++++ Q.2 Are there any plans to allow us to write the Collapsed Ancestor Chart to a file or RTF? I use the ALT+PrintScreen option John suggests in the manual, but have to literally cut and tape the printout from WORD to get a decent (but non-editable) result. ++++++++++ Q.3 The 4 family box chart in the windows version dated November 22 is different from the one in the DOS version. Frankly I liked the DOS version better, though I never did manage 6 generations even when they were available. The Windows version gives four families of one of the parents and not both. What do you think about this. Is there a reason for this change? ++++++++++ Q.4 Using Dec24 bk5w. I've read p18 on printer set up and thought it originally applied while only in BK5, but it stays forever, like it says. Often I'm in another application only to realise that I'm printing landscape instead of portrait. Is there an automatic way to reset the printer setting upon leaving BK so that subsequent applications aren't effected? ++++++++++ Q.5 I am wondering if there is anyone out there who has loaded the royal92.ged gedcom file into Brothers Keeper. What is the best way to handle the TITL field, and how to deal with the absence of surnames. ++++++++++ @@---------- Q. Is it possible to search for people entered Between two dates (e.g. January 1, 1997 & Feb 1,1997 ) or any specific Date Range? A.. There is not a way to search for people entered between two dates, but you can print a list of everyone with the date of last change (which is the date entered if you have not modified them since they were entered.) Pick Lists, Numeric, and print the BK code number, and the name, and field 40. You can then preview the list. Since you print in BK code number order, the new entries will also be near the bottom of the lists. The date will show (field 40) ----------@@ Q.. Is it possible to delete a database from within BKwin? A.. Brothers Keeper does not provide a direct way to delete a database. The obvious thing to do is leave BK, go to file manager or explorer and delete all the files in that directory. For those not yet adept at file management like this. You CAN delete a database from within BKwin by the following method. Open any database other than the one you want to delete and begin to run the "split database" routine. Choose the database you want to delete as the one to split to. A dialog will say that this database contains data and "do you want to erase it?" Answer "yes". Again it will ask you if you're sure you want to erase it. Again, answer "yes". Next you will get the dialog that asks you to select the people you want to split out. At this point click "quit without copying". The subject database is now completely empty and ready to receive fresh new data ---------- Q.. When importing a Gedcom file into a new database it trimmed the last 40 characters off the message lines and from each line in any attached text files. What happened? A.. If the gedcom file contained lines that are longer than 190 characters then you need a new version of my program (December or January or Feb) and then it will read all 255 characters in the gedcom file lines. Lines should not be longer than 255 characters. ---------- Q.. First, I decided to look at my source list for errors. I found some, of course. The ones I am having trouble correcting are ones that are caused by being too quick on the draw with F8 and F10. Sources, for example, that ended up as "mar". Now, did I really mean Marriage Record? Or maybe a book by Martin? Or one by March? I can't find out unless I can find the event sourced by "mar". I try word search. No - "mar" gets me all of the above. I try "mar" followed by some spaces. Same result. I go to the list of fields for custom reports, thinking I can generate a report listing sources with "mar" in them. No -- sources aren't one of the choices. (Page numbers for event are possible choices. This is interesting! I am sure John included them for a reason, but I can't seem to think of one. I tested it. Yes, all you get is the page #, and not the source.) Q.. Second, I wanted to generate a bibliography for a certain surname to take with me to the library, so I would know what I already had. I essentially want to search for a certain name, and them list the sources in a custom report. No dice. I know I could generate a register report and just print the footnotes, but I was hoping there was an alternative. I really like the custom report feature in BK, and use it a lot to organize for research. The addition of the ability to search for a range of dates is great. What is still missing for me (besides the above) is (1) the ability to search for empty fields (example - -who am I messing dob's for, so I can look them up at vital records), and (2) to exclude information (e.g. search for all people with a certain surname NOT born in Vermont.) A.. This feature is in the DOS version. I'm sure it will be in the Windows version soon. There are some other reports not yet in the Windows version that are available in the DOS version, so you might like to have that installed. A.. You have found some of the things you CAN'T do with the custom reports not printing sources and not excluding selections. Meanwhile here are some things you CAN do which may or may not help you in organizing your efforts. You can print out a list of all your sources from the lists menu on the main screen. With some extra effort you can create a custom report for each one of these sources that lists all the names that use that source. To do that, enter enough of the source to make it unique in the source field in the word search custom report. Put the BK no, last name, first name and other fields as appropriate in the report. Print the report to a disk file via the generic printer that windows provides. You can open that file in a text editor and copy the source itself at the top to show what that list is for. Granted -- this is a LOT of extra effort. As for your "mar" source -- you have found that doing a word search on the letters "mar" (no spaces) will show you every source that contains the sequence "mar" anywhere in the source. The only thing I see to do is make a list to edit, look at each one in turn, and edit it as necessary. If you don't finish in one session you can make a note of the person you got to and next time, go down the list to that person to start. Try selecting SOURCES from the File menu and select Change Sources Globally (or something like that). Put MAR as the source you want to change, and in the "change-to" box on the bottom put something like HELP and then Go. That will change the source for that entry (and any others that use it) from MAR to FINDIT, which you should be able to find with your word search. ---------- Q.. How do you access the Bk text editor from the edit page A.. To use the BK text editor you must first go to the options from the file menu on the main screen. Under the "text editor" tab choose BK editor. Then on the "edit person" screen you click on the small button to the left of a message line that contains a file link and the BK text editor will be used to read the file. If you click the button to the left of a blank line the BK editor will be used to create the file. I see no reason not to use the BK editor for this since these files must be plain text and the BK editor works just fine for this. ---------- Q.. I have both the Windows and Dos versions installed. Is this going to give me problems to give me problems ---------- A.. You are OK having both DOS and WIN versions of BK in the same directory. You can work on the same databases interchangably with BKDOS or BKWIN any time you like. (Just don't run both programs at the same time, though). ---------- Q.. I installed the Feb 11 version tonight and imported a Gedcom file from FTW. I am finding a couple of starnge things that I do not know how to repair. The problem is that when I: 1. Open an Ancestor chart on which I am number 1 2. And then double click on myself to open the edit screen 3. Then click on PARENTS on the right side of the screen. 4. Then click on PARENTS in the listing for my father. 5. So far OK, but if I try to go back by double clicking on my father's name in the lower field, he shows up OK, but NOT ENTERED shows up for my mother. There are a couple of other entries where this also happens, but the others work correctly. Is this just corruption of the database that is only resolvable by deleting the database and restoring a backup rr is it repairable.? A.. A possibility is that you are listed with two sets of parents. One set with your father and mother and the other set with your father and no spouse. If this is the case then an "other parents" button will show up on the LEFT side of the screen. To fix this, with your father showing with no spouse entered, delete the LINK to spouse. DO NOT delete the individual which is your father, just the link to the "not entered" spouse. Find the appropriate choices in the menu on the edit screen. Note that this is just a possibility of what MAY be wrong. A.. When it shows Not Entered as a spouse of your father, does it show and up and down arrow to the right of that box? If so, click the down arrow to show other spouses. Are you attached as a child of your Father and Not Entered or does that screen show no children? If it shows no children, and if you are attached to another spouse then you can delete the link to the Not Entered spouse. However, if you are a child of the not entered spouse, then you should run the Quality check (File, Qualty check from the main screen.) IF all checks out ok, you can enter your mother by clicking on the Not Entered box and telling the program to enter someone for that spouse. ---------- Q.. Is it possible to list more than one source for an entry? A.. Currently you can only have one three line source for each event. I have received many requests for more sources and longer sources and that is on the list for the next major update. ---------- Q.. What does the Redraw button on the edit screen do? A.. The Redraw button is only used if some other screen overlapped your Edit screen and it did not redraw correctly (if some areas are blank.) I find it very important to have the Today's date on every chart I send to someone as well as something saying who created it. This is easy enough on the ancestor chart and on charts created in text or rtf files which can be edited, but with the Tree Chart I haven't found a way yet. Has anyone? From MS Word 7 and other Win-applications I can print without any font-troubles. E.g. printing the TREE: On the preview screen there is all OK. Then I choose print fonts. I can change the font style (Times --> Arial) but the chosen codepage (CE, cyrrilic, western...) will not stay and is always reset to western. They're a great addition to it. I have one small problem, that I can live with, but perhaps you can tell me how to correct it. I had the names printed in bold. When they printed, for example, it came out like this - Wilbur JamesJames. The Wilbur James is bold, and the James following Wilbur James is not bold. How can I eliminate the duplicated second James? Also, I've encouraged a relative to use Brothers Keeper, to which he's agreed. I want to send him all the data in my files concerning his family. What's the best way to do it? James To Wilbur James on BK5-L There was a bug in Word Perfect at one time that caused the problem of double names. The second name is from the invisible index that is marked after each name. One version of WP had that bug, but I think the problem will go away if you make the RTF file and do not ask for a two part index. On the RTF tab in BK ask for the index to have one part names. See if that fixes the problem. In WP if you pick View, Reveal Codes, you can see the invisible names at the bottom. To send a relative your entire database, pick File, Backup database. To send a relative part, pick File, Split database. If your relative does not have BK, then make a gedcom file. If you pick in WP from the top menu, View, Reveal Codes, you will see the footnote in the text at the bottom. When you say it is double spaced, do you mean one source prints double spaced, or do you mean there is a blank line between sources? Lists like this very one, the BK-List, have automatic servers that will send out information automatically upon request. For example, if you send a message to bk5-l-request@genealogy.org and put INFORMATION as the subject and nothing in the message, you will get back some information about the BK-List. I believe Dan Garntiz is the owner of this list. Why not ask him if he will set up the FAQ like this so the server will automatically send it to anyone upon the proper key-word? If you send him a regular message at the above address, I believe he will see it. I would now like *all* of this information to be in the .txt file. Is there an easy way to move the text from the msg lines to the .txt file? Thanks in advance, Carrie Stewart, Kitchener, ON Move the lines one at a time by highlighting one line and cut it by pressing CTRL-X. Then go to the text file and paste it in the appropriate place by pressing CTRL-V. Be sure to save the text file before you go back to get the next line else you will lose the line you've just pasted. It would be safer to use CRTL-C instead of CTRL-X. That way the message lines will still be there after you've copied them to the text file. You can delete them after they're safely in the text file. NOW...When I try the same thing in BKFW, I don't see where you are talking about where it may say "baptised". When looking at the children of this family (Parent screen) there is no date at all displayed for this child, and no asterisk or indication that of "bap". I recently received new information about my family line and learned that two people who had been entered as individuals are in fact siblings. Their parents have been entered as New Individuals. I called up the parents' screen and went to Add Child. I put the BK# for the child in the Name field. Now the program tells me I have a couple with children named 1020 and 1026! It does not seem to have linked the necessary information with the parents. What did I do wrong and how can I fix it? That should bring up the person with that number. I don't know why you ended up with a person with a number in the name field. You can unlink those children from the parents, and then pick Add child and type the first and last name of the child and that should bring them up. ALso, you can put the child in the Husband or WIfe area and then pick Add, Parents, To husband or wife.
